Job Description

Roles and responsibilities

Key Responsibilities of a Parts Advisor

1. Parts Management and Inventory Control

  • Inventory Oversight: Maintain accurate records of parts inventory, ensuring stock levels are adequate to meet customer demands. This includes monitoring part usage, restocking as necessary, and ensuring parts are ordered in a timely manner.
  • Stock Replenishment: Order replacement parts or components as needed, managing relationships with suppliers to ensure timely delivery.
  • Organizing Parts: Organize and categorize parts in a way that makes them easy to locate and access for technicians and customers. This could involve setting up shelves, bins, and cataloging systems.
  • Parts Cataloging: Keep up-to-date records of part numbers, descriptions, and pricing in a digital or physical parts catalog. Ensure accuracy in product data.
  • Parts Return Management: Handle the returns of defective or incorrect parts to suppliers or manufacturers in line with warranty policies.

2. Customer Service and Advising

  • Customer Interaction: Advise customers on parts requirements for their specific needs, including identifying the right part for a particular vehicle, machine, or product. Provide product recommendations based on customer queries.
  • Parts Availability: Check the availability of parts, inform customers about delivery or lead times, and manage backorders effectively.
  • Providing Quotes: Provide accurate pricing and estimates for parts and services, ensuring transparency in costs.
  • Order Fulfillment: Ensure that customer orders are processed accurately, efficiently, and delivered on time.
  • After-Sales Support: Assist customers with post-purchase inquiries, help with returns, or manage warranty claims related to parts.

3. Order and Parts Procurement

  • Supplier Coordination: Work closely with suppliers and vendors to order parts, manage deliveries, and maintain strong business relationships.
  • Parts Ordering: Process orders for replacement parts or new parts based on customer or workshop needs. Ensure orders are made in time to prevent delays in repair or maintenance.
  • Lead Time Management: Monitor the lead time for parts, ensuring that the wait time for customers is kept to a minimum.
  • Cross-Selling: Identify opportunities to suggest additional products or services to customers, such as related components, upgrades, or maintenance packages.

4. Technician and Workshop Support

  • Parts Supply to Technicians: Ensure that the mechanics, engineers, or other technical staff have the parts they need to perform repairs or maintenance work. This might include picking parts and preparing them for use in the workshop.
  • Technical Knowledge: Have a deep understanding of the parts, their compatibility, and how they relate to the overall product or machinery. This is crucial for advising both customers and technicians accurately.
  • Supporting the Repair Process: Help technicians by providing any technical details they may need regarding parts, including installation procedures or technical specifications.

5. Administrative Tasks and Reporting

  • Order Tracking: Keep track of orders, including backordered parts, shipments, and deliveries. Ensure parts are delivered on time and that customers are kept informed of any delays.
  • Sales Reporting: Maintain reports on parts sales, stock levels, and customer feedback, providing management with relevant data for inventory control and forecasting.
  • Processing Invoices and Payments: Ensure that all parts sales are invoiced accurately, and payments are processed according to company procedures.

6. Maintaining Health and Safety Standards

  • Workplace Safety: Ensure that all parts are stored in a safe and organized manner, complying with health and safety regulations. This may include handling hazardous materials, such as oils, solvents, or heavy equipment, safely.
  • Compliance: Ensure compliance with relevant legal regulations regarding parts procurement, sales, and storage.

Desired candidate profile

  • Monitor sales and assist to achieve branch Net sales and Profits in comparison to targets on daily and monthly basis.
  • To order day to day requirement and deliver the parts as per ETA, measured through monthly review report.
  • Responsible for perpetual and annual stock inventory for effective stock management, sufficient supplies to market needs and avoid any over stock situations.
  • Assist Sales and Service departments to maximise accessories stock.
  • Perform team purchase orders, GR, and IV are done on time and as per company standards.
  • Procure parts through cost effective method for used vehicle refurbishment which will meet standards
  • Assist team in achieving customer service values in meeting the needs and expectations of the customers.

Required Skills To Be Successful

  • Parts Inventory Knowledge
  • EV Parts experience
  • Excellent communication (written and spoken) & Interpersonal skills
  • Good PC skills including proficiency in MS Office, MS Excel & MS Power Point

About The Team

The role will report to the Retail Director and you will be working in a busy warehouse environment

What Equips You For The Role

  • Graduate or Diploma in relevant field / equivalent experience
  • Minimum 5 years in Automotive and 2 years in Supervisor Role.
  • Customer Focused and Team Player
