.The AF Import Operations Associate plays a crucial role in maintaining the efficiency and accuracy of logistics operations through meticulous administrative and clerical support. Managing essential office tasks coordinating logistics activities and providing comprehensive support to the team. This role demonstrates dependability in handling tasks a caring attitude towards team collaboration a proactive approach to improving processes and a forward-thinking mindset to anticipate and solve challenges.
About the Job
- Receive booking details from network and customer service colleagues via mail.
- Check invoice packing list and other documents for import shipment.
- Coordinate with the airline and arrange for booking of the cargo based on destination and customer expectations.
- Coordinate with the shipper/customer service team for any discrepancy on shipping documents.
- Arrange collection of cargo from shippers facility in appropriate vehicle in coordination with the transport vendor or transport team.
- Preparation and execution of the airway bill considering the destination country SOP.
- Preparation of customs documents based on invoice and packing list received from shipper.
- Arrange all documents required as per export regulations.
- Arrange all documents required as per the import country regulations.
- Provide the pre alert documents to the network office/ customer service team based along with confirmed flight details.
- Ensure complete documents (as per requirements) are handed over to customs clearance.
- Coordinate with Transport Department/Vendors for delivery of shipments/proof of delivery.
- Ensure that all job files are maintained.
- Relay information to origin offices if shipment not cleared within 2 days.
- Coordinate with third parties sales and finance to meet operational requirements.
- Resolve issues regarding cargo shortage/ damage/ claims.
- Receiving cash/cheque from customers in regard to clearance shipment/delivery order collection and accounting the same to Finance.
- Develop and maintain a healthy relationship with internal and external customers.
- Ensure timely and effective communication takes place within defined time limits.
- Provide necessary information to internal staff.
- Maintain a positive working relationship at all levels.
- Ensure KPIs are met and reported on a monthly basis.
- Fulfill any and all other tasks as deemed fit by Management.
About You
- Bachelors / Masters degree
- Experience: Minimum 2-3 year of working experience in a similar role
- Experience in freight forwarding and experience using CargoWise/Calogi is preferred
- Knowledge about DXB customs and Dnata
- Proficient in all Microsoft Office applications (Excel Word and Power Point)
- Communicate professionally in English at a business level (verbal and written)
