Key Responsibilities

  • Manage all aspects of administrative operations for the Dubai office ensuring smooth day-to-day functioning.
  • Handle vendor management end-to-end: sourcing getting quotations negotiating contracts and maintaining relationships.
  • Oversee office permits maintenance and repair requests and office suppliesensuring all requests are tracked and managed via the freezone portal.
  • Coordinate employee health insurance registration renewals and related documentation.
  • Support visa applications residency processes and other government-related requirements to ensure compliance with UAE labor law and freezone regulations.
  • Plan and execute office and team events contributing to a positive inclusive and engaging workplace culture.
  • Partner with People Operations and Finance teams on administrative support such as expense reporting time tracking and onboarding logistics.
  • Act as the go-to person for employees administrative needs resolving issues quickly and effectively.
  • Be flexible and resourcefultake on additional projects as the company grows from policy rollouts to supporting new office launches.

Requirements Office Administration Organization & Communication Skills

  • 3-4 years experience in office management administration or operationsideally in a high-growth startup or tech environment.
  • Proactive resourceful and comfortable working independently to solve ambiguous challenges.
  • Outstanding organizational skills attention to detail and the ability to prioritize quickly.
  • Excellent verbal and written communication skills; fluency in English required Arabic an advantage.
  • Strong interpersonal skillsyoure passionate about building a positive inclusive workplace.
  • Comfort with basic office software (Google Workspace); familiarity with HR accounting or project management tools is a plus.
  • Experience planning events or managing team engagement initiatives is preferred.
  • Based in Dubai UAE
