Overall Role Purpose

The Agent is responsible for the courier debrief and entry of all cash/ cheque’s/ customs duties/ Transport collect shipments in CAA to enable correct reconciliation of all transaction for inbound and outbound shipments.

Your Tasks:

Customers:

  • Maintain proactive work processes to ensure overall base performance is achieved.
  • Respond to all CAA queries from internal customers promptly so that they can use this information to complete their task efficiently at their end.



Internal:

  • Perform the duties and requirements of the role in accordance with employment terms and conditions.
  • Provide immediate feedback to Supervisor on service issues.
  • Maintain a professional contact on the two-way
  • Assist with a range of Local Operations tasks as required. Such As HIC, Sorting and Dispatch.
  • Maintain a proactive approach towards security of freight, facility and personnel and suggest smarter work practices that will ensure that through teamwork the staff meet all KPI standard/ cash collection procedure, and our customers are continually provided enhanced services.
  • Maintain a thorough knowledge of the DHL network, service directory, customs, IATA, regulations, products and services so that a quality and accurate debrief can done to avoid any further delay’s during the process.



Third Party Agents:

  • Communicate effectively with couriers/counter agents on any discrepancies on the cash transaction and drive them to enter accurate data consistently in CAA.
  • Highlight any recurring problems and irregularities on CAA and then direct the information to the Services trainer/annalist so that corrective action can be taken promptly.



Process:

  • Provide suggestions to improve operation efficiencies or business needs.
  • Perform any other associated tasks as reasonably required within the scope of the role.
  • Organise individual workload to ensure that all entries are completed accurately on CAA.
  • While entering data in CAA, the job holder can correct data by having a search update before he inserts any unassigned transaction for individual courier/ counter agent and ensure all the transaction are 100% tallied before sending to the finance department.
  • Identify recurring discrepancies in information on CAA and highlight it to the services annalist team leader/service centre manager so that appropriate action can be taken.
  • Ensure all CAA options (Finance/collections/operations/complaints/Fleet/Other’s/Country Administration /General) are 100% entered and checked accurately and information on the CAA are populated to ensure that prompt and accurate data is available to the Finance /Management for Reconciliation and audit purposes.
  • Ensure that all Operation Administration files updated on regular basis and all reports for these are completed and sent to the appropriate staff as per time commitment.
  • Check and ensure all courier pending delivery shipments in the scanner.
  • Review all DE shipments and make sure the correct checkpoints are captured.
  • Consolidate end of day cash, cross check with CAA and Handover to finance
  • Review and follow-up uncollected duties and influence couriers to follow collections guidelines.
  • Promote online collections.
  • Provide all the necessary documentations to finance team when required and ensure a tight archiving processes and procedures.
  • Communicate with the operations department management immediately about any non-regulatory event such as a breach in an agreed process or agreed procedures.
  • Provide analytical reports when required to the operations management team.



Occupational Health & Safety:

  • Abide by DHL OHS policies, procedures and training at all times
  • Comply with the ground operation ISO procedures as outlined in the manual and safe working practices both within and outside the workplace.
