Job Summary:

  • Work to clear out all old orders and pending issues.
  • Work closely with the service team to understand the customers needs and ensure providing timely manner responds and services.
  • Organize the sales work (Quotes orders invoices and payment) to maximize our productivity.
  • Find ways to simplify the complex system and make it easy to use.
  • Create a solid knowledge of the products we sell; as product knowledge means more sales.
  • Offer the highest quality of services with a complete focus on growing up the business and enhance selfperformance.
  • Aiming at customer satisfaction through effective and proactive customer sales technical assistance & prompt after sales service.
  • Build strong networks and relationships with both customers and suppliers to improve sales bottom line and increase company revenue.
  • Manage the work process which will help smoothen the workflow and create more friendly working environment which leads to many positive outcomes like: Higher job satisfaction less errors and failures and better rate of engagement.

RESPONSIBILITIES/ACCOUNTABILITY & AUTHORITY:

Creating quotes (Spares Service Rental & Assembly WLFL CTN2 PPC and CTES):

  • Trying to identify the product line using the given Part Number (PN).
  • If PN is still unknown then expanding the search criteria using different tools (GIV Engineering Portal and Outlook search command) if there is no useful information then going back to the customer and asking for more technical details such as data nameplate pictures the unit name that this spare part fits into analyzing and sharing these data with the manufacturer until we come up with the part number the customer is looking for.
  • If the PN is known then asking for a quote from the supplier.
  • After receiving the supplier quote use the list prices to find our price to the customer.
  • Checking the availability in SA and if not taking the supplier lead time to find the suitable promise date for our client.
  • Create the quote in the system by filling out the required data and entering the items accordingly.
  • Sending the quote to the customer.
  • Screening the customer.

Create Sales order acknowledgment (Spares Service and Assembly WLFL CTN2 PPC and CTES):

  • Once a PO is received check all information is correct (supplier name! PNs ! prices! delivery time ! shipping and payment term ! VAT amount)
  • Liaising with the engineering department to set up the part numbers for those items which are not identified on the system by providing them the full data and supporting docs.
  • Entering the PO in the system to create a demand.
  • Screening the customer through Visual Compliance and making sure to keep it filed in case its needed. (Including special compliance approvals).
  • Acknowledge the receipt of the PO by providing the customer with SOA.
  • Create a file in the shared folder and keep a copy of all backup docs to ensure easy accessibility for anyone who needs it.
  • Instructing procurement team to order the nonstock items.
  • Making sure the order is placed by our procurement and the shipment is coming ahead of time to allow the team to receive it on the sys ! do quality checking ! dispatch on time.
  • Replaying to the client emails for any concern & follow up on the order.
  • Make Sure that the items are received in stock for any order we promise to deliver soon if items are not in stock yet then:
  • 1. Follow up with the supplier (if needed) to see whether shipment has been collected or not.
  • 2. Follow up with the freight forwarder (if needed) To see where is the shipment & how long will it take to be received.
  • Working with the logistic team to pack and deliver the available material to the clients.
  • Follow up with the logistic to get a proof of delivery to enable us issuing the invoice on time.

BEHAVIORAL SKILLS/COMPETENCIES & REQUIRED:

  • Controlled workflow by having a data sheets that will assist on tracking open orders expected shipments potential POs unpaid invoices etc.
  • Following up on regular basis; (getting POs for submitted quotes delivering available items releasing shipments for what we buy and nonpaid invoices).
  • Deadline for replaying to clients so that the customer receives a response within 24 to 48 hours max.
  • Expanding our knowledge on what product we sell and optimizing the System in a way that will maximize the outcomes.
  • Get to meet the customers build a strong relationship understand their present/ future needs and concerns and finally study the complains and feedbacks that could negatively affect our business.
  • Establish standard methods to evaluating our performance and turn our weakness into strength.
  • Increase the capacity to receive more orders which will directly impact our business growth.
  • Ability to cover in case of vacation or emergency leaves.
  • Engage in any other activities as requested by the product line sales manager and operations team.
  • Positively response to business decision by line management which deems to be in the interest of the company.
  • Plan for vacation without affecting the workload.
  • Follow up on the sales process from the RFQ till the actual payment by the customer in NOV account.

EXPERIENCE/EDUCATION/SKILLSET REQUIRED:

  • Bachelors degree in engineering or business.
  • 3 years in Sales or business development.
  • Excel and power point expert.
  • Time oriented.
  • Good in follow ups.
