We are looking for a CRM Administrator to manage monitor and optimize our CRM system to ensure seamless lead flow accurate data tracking and high-performance team coordination.
This role is ideal for someone highly tech-savvy detail-oriented and comfortable working with automation and AI-assisted chat systems. The ideal candidate thrives in fast-paced environments can handle high volumes without errors and understands the importance of CRM hygiene and response time performance. Key Responsibilities
Core Functions
Monitor daily CRM activity to ensure data accuracy and system hygiene.
Oversee incoming chats and filter AI-handled conversations versus those requiring human intervention.
Assign and reassign leads based on team availability and workload distribution.
Maintain structured lead pipelines with accurate status updates and documentation.
Collaboration & Communication
Coordinate with sales and support teams to ensure proper lead follow-up.
Communicate clearly regarding lead allocation and reassignment decisions.
Provide guidance to team members on proper CRM usage and data entry standards.
Escalate system or performance issues to management when required.
Performance Reporting & Audit
Audit CRM activities notes response times and lead statuses regularly.
Monitor team engagement and ensure no leads are missed or delayed.
Support performance reporting and basic tracking dashboards.
Identify inefficiencies in chat flow or CRM processes and suggest improvements.
Requirements:
Proven experience working with CRM systems (e.g. Salesforce HubSpot Zoho or similar).
Strong technical aptitude with comfort in automation tools and AI-assisted workflows.
Excellent English communication skills (written and spoken).
Highly organized with exceptional attention to detail.
Ability to manage high-volume activity accurately and efficiently.
Strong analytical mindset with the ability to identify system gaps and inconsistencies.
Bachelors degree in Business IT or related field is a plus.
