Overview of the role
Be responsible for supporting the CEO with managing workload and ensuring the efficient management of the CEO office responsibilities coordination, administration, diary management, presentations etc.
- Coordination:
- Arrange the agenda of the CEO (incl. meetings, interviews, visits, occasions, and other activities)
- Organize and coordinate travel arrangements for the CEO, in terms of flight bookings, hotel, transportation, etc.
- Manage the in and out communications system of the CEO, including calls, letters, etc.
- Attend meetings with the CEO to take meeting minutes and follow- up on tasks, as needed
- Serve responsibilities for ad-hoc projects and engagements as delegated by the CEO
- Schedule and prepare the CEO meetings with the Board
- Ensure the efficient operation of the CEO decision-making process during and in- between CEO meetings
- Record and maintain meeting minutes of the CEO meetings
- Plan and take appropriate measures to ensure the smooth transition and onboarding of new key members of management
- Manage cross-divisional efforts towards the effective preparation of formal and informal Board meetings
- Oversee the implementation of approved Board policies in collaboration with relevant divisions
- Perform any other related duties in support and as required by the CEO
- Advisory:
- Provide inputs for the formulation and review of policies and procedures on governance matters
- Guide the development of materials needed to support the CEO in decision-making
KEY ACCOUNTABILITIES:
- Planning and organization of meetings and CEO arrangements
- Planning of CEO agenda, flights, hotels
- Consolidation of meeting notes from CEO meetings
- Coordination of materials developed for CEO
- Support in onboarding managers reporting directly to the CEO
Requirements
QUALIFICATIONS & EXPERIENCE:
- Education Bachelors Degree Business Administration, Finance, Engineering
- Professional Qualifications (Certifications & Accreditations) : Qualifications in business administration or related fields
- Competencies (Knowledge, Skills & Abilities) : Strong planning and organizational skills, strong verbal and written communications, high moral reputation and proven integrity
- Experience : 3+ years of experience in the BoD, CEO, CFO, COO, or CSO office
- Languages : Fluency in Arabic and English is a must
