JOB PURPOSE:
Oversee, monitoring & control all operational aspects of the store, ranging from receiving products to managing inventory and providing Client service. Inspect, check, sample, and keep accurate documentation & records on materials, supplies, and other equipment that enters the warehouse. Ensuring premises, assets and communications are used effectively. Utilizing logistics to optimize shipping and transport procedures.
KEY RESPONSIBILITIES:
Procurement:
Process offshore materials requisitions & Transfer Orders, from receipt to procurement and delivery (in line with Company policy and processes).
Record the receipt of all merchandise in Microsoft Dynamic NAV.
Track inventory of products on shelves and storage unit.
Track lost or mis-delivered packages.
Efficient and cost-effective distribution of goods in accordance with best practices and operational demand requirements
Logistics:
Coordinate equipment certification in accordance with Company and client specifications. Physical examination and preparation of all shipping mobilization and paperwork during the cargo load outs.
Ensure packing specifications and compliance with API Q2 requirements.
Maintain accurate and up-to-date documentation in respect of hazardous materials & material/CCU certifications.
Create mobilization within the system to support the offshore sites demand.
Arrange transportation for all equipment movement from the company (AVL).
Arrange for shipment pickups from international vendors when the purchasing team requests it to verify that the paperwork and certificates specified in the PO are checked.
Coordinate with Stores personnel to arrange the transportation from client base to stores for back load equipment/CCU.
Ensure to obtain freight quotations from approved freight forwarders to choose the competitive value and service to optimize the cost/service.
For overseas shipments, ensure that all customs documentation is organized accurately and on time.
Apply for UAE local authority approval (ESMA, FANR, TRA, ERWADA, etc.) for international shipments.
Work with the freight forwarder to file deposits and reclaims in port customs due to a lack of documents given by the shipper, as needed.
Maintain International shipment tracker to capture all the shipment movement live updates (i.e.: freight agent, quote price, savings on freight etc.).
Raise requisitions for freight shipments in the system.
Raise requisitions for all mode of transportation and third-party providers.
Raise requisitions for all hired third party CCU s in ERP system.
Ensure Warehouse team maintain & file International and local shipment documentation.
On/off hire of third-party shipping equipment and Transportation.
Coordinate with client Shipping/Receiving team at client base for the CCU s movement flow from and to Islands.
Liaise with Island supervisor/store in charge to ensure efficient and timely manner CCU s flow from and to operational sites.
Visit to client base for the mobilization monitoring, as required.
Responsible for supplying regular updates of the activities to the Warehouse & Logistics Manager.
Cover all duties in the absence of the Warehouse & Logistics Manager.
Stores/Inventory:
Support the stock control within the store. Re-order / replenish used stock as required.
As directed by management, Support the stores in conducting full/cycle stock counts, including spot stock checks. Post the systems stock count findings.
Control and Move stock, run spare reports, identify shipments at risks, and run Warehouse fulfillment in the system.
