Are you a highly organized and detail-oriented individual with a passion for supporting executives in a dynamic and creative environment? Join our young and innovative media agency as an Executive Secretary and be a crucial part of our team!

Your main responsibilities:

  • Administrative Support: provide comprehensive administrative support to senior management. This includes managing calendars, scheduling appointments, and coordinating meetings. They may also handle travel arrangements, expense reports, and other administrative tasks.
  • Communication and Correspondence: drafting and editing professional correspondence, reports, and presentations on behalf of the executive. They may also handle incoming and outgoing communications, including phone calls, emails, and other forms of correspondence.
  • Document Management: manage and organize documents, files, and records. They may be responsible for maintaining confidential information, ensuring proper documentation, and implementing efficient filing systems.
  • Meeting Coordination: coordinating meetings and conferences which includes scheduling meetings, preparing agendas, taking minutes, and distributing relevant materials. They may also liaise with internal and external stakeholders to ensure smooth communication and coordination.
  • Relationship Management: act as a point of contact between the executive and other stakeholders, including clients, employees, and external partners. They may handle inquiries, provide information, and maintain positive relationships on behalf of the executive.
  • Confidentiality and Discretion: must maintain a high level of professionalism, discretion, and confidentiality in all interactions and ensure that information is handled securely.
  • Organizational Support: provide additional support to the executive and the organization as needed. This can include conducting research, preparing reports, coordinating special projects, and assisting with other administrative tasks.
  • Technology and Software Proficiency: must be proficient in using office productivity software such as Google Suite. They may also need to be familiar with digital tools for scheduling, document management, and communication.

What we are looking for:

  • A High School Diploma or Bachelor's Degree in a business management or relevant field.
  • Min. 1-2 years of experience in a similar role, preferably supporting high-level executives or senior management.
  • Excellent organizational and time management abilities.
  • Strong written and verbal communication skills.
  • Proficiency in managing calendars, scheduling appointments, and coordinating meetings.
  • Attention to detail and accuracy in handling administrative tasks.
  • Ability to prioritize tasks effectively and meet deadlines.
  • Proficient in using office productivity software (e.g., Google, Microsoft Office).
  • Strong interpersonal skills and the ability to work well with diverse stakeholders.
  • Discretion and the ability to handle sensitive and confidential information.
  • Problem-solving skills and the ability to anticipate and address issues proactively.
  • Adaptability and flexibility in a fast-paced and dynamic work environment.
  • Professionalism and poise in representing the executive and the organization.
