Project Administrator Responsibilities: -
• Prepare Purchase Request forms from received 3 rd party quotes, submit to Back office, and follow-up on such requests.
• PA&S resource s business trip coordination visa arrangement, and flight/hotel booking assistance.
• Gate pass application for resources in Kuwait (for sites) with all the required details attached to be coordinated & followed with PR officer. Maintain track/record of all issued gate passes and validity.
• Local transport logistics and hotel booking inside Kuwait for visiting resources.
• Visa request and coordination for Kuwait entry for all visiting resources (welcoming message).
• Tier meeting RAIL maintenance, and production board updates where required.
• PA&S Monthly Progress Meeting / Project Review Meeting / HSE Monthly Meeting / and other recurring meetings: do necessary scheduling & ensure required resources (room/projector/etc.) are available.
• Maintain & Update periodically the Organization Chart of PAS.
• Maintaining a timely organized record of original documents (PO/CO/Letters/etc.) both received and sent.
• Leading & coordinating in any project documentation hardcopy submissions (eg. Master Record Book) with printing-vendor (or inhouse) and quality-check the dossiers before submitting to customers.
• Preparing letters, and arranging for signature/stamp/delivery to addressed entity.
• Coordinating any local invoice submission (stamping, appending attachments if any, and delivery to customer) and providing receipt copy back to PM.
• Miscellaneous document preparation (presentation, hand-outs, etc.).
• Project Site Services Timesheet collection, follow-up, validation (against SAP), and preparing summary sheets to enable timely invoicing of the services.
• Backup for Document Controller duties (when DC is on leave).
• PA&S other administrative support activities (miscellaneous).
Qualifications & Experience: -
• Bachelors degree in business or engineering is preferred.
• Six Sigma Certification preferred.
• Minimum 3 years experience in similar role.
• Good knowledge of MS Office.
• Additional languages other than English (esp. Arabic) is advantageous.
