Workshop Coordinator

Job Description

Job purpose The position is responsible for the scheduling and maintenance of company vehicles, equipment’s and its record keeping. Duties and responsibilities 1. Coordinate with the drivers and the technicians to diagnose vehicle or equipment complaints and accordingly issue ‘job card’ for each vehicle, before starting the work 2. Will be responsible to schedule the maintenance and servicing of all company vehicles and equipment; Also, responsible for its timely completion, without compromising on the service quality 3. To coordinate with the technicians to ensure timely completion of maintenance and repair jobs 4. To track, record, manage and timely resolve maintenance and repair issues and communicate accordingly to the line manager and to the operations department 5. To coordinate with suppliers for vehicle maintenance / repair and for the procurement activities, if assigned 6. Strive to ensure efficiency optimization and report deviations to the line manager 7. Support and assist in warehouse management, in procurement and any other assigned administrative jobs 8. Ensure cleanliness, proper housekeeping and safe stocking of items in the Workshop, in strict compliance with the HSE requirements. 9. Maintain clear and organized records to ensure all reports and invoices are filed and stored properly. 10. To do data entry for Workshop activities, including for maintenance & repair works, as advised 11. To liaise with governmental or any other concerned authorities for any required approvals 12. To maintain professional and technical knowledge through continuous learning, by attending educational workshop, training and e-learning programs, by reviewing professional publications and by benchmarking best practices 13. To Prepare the required monthly and /or any other MIS report, as assigned by your reporting manager 14. Responsible to comply with the applicable HSE and company policies and procedures, UAE laws and applicable regulations 15. To work ethically and to report any violations and acts that may affect the health, safety, environment, ethics and company reputation 16. To Perform any other task, as assigned from time to time by the company, based on business requirement.

Desired Candidate Profile

Job Specifications a) Education: Degree or Diploma in Engineering is desirable b) Professional Certification: HSE related certification preferred. c) Specialized knowledge: Basic knowledge on vehicle, spare parts and on workshop environment and working procedures d) Skills: Organizational, Analytical, and Interpersonal skills, Commercial awareness, Knowledge of Hindi and Urdu will be advantageous e) Computer Skills: Computer literate (Microsoft Word, Excel, e-mail, internet, etc.) f) Other characteristics such as personal characteristics: Should be a team player, highly organized and able to prioritize task, dependable and flexible. g) Experience: Minimum 2 years of work experience in a workshop environment Working conditions 1. Needs to work more independently and mostly from office 2. Standard hours of work. Sometimes, based on business requirements, the employee may be required to work for extended hours 3. Required to work in any assigned duty timing, in the day or night shift, 6 days a week, with one day off in a week; Also, need to work in any assigned branch or location 4. May be exposed to unpleasant sights and smells and may at times be exposed to dangerous and/or toxic substances and must take necessary precautions to protect eyes, nose and skin from irritation and infection. 5. May be exposed to direct sunlight and extreme weather during work 6. May be exposed to workshop related risks
