The company focuses primarily on antiviral drugs used in the treatment of HIV, hepatitis B, hepatitis C, and influenza, including Harvoni and Svaldi. Position: Sr Event Planner - II Location: CA 94404 Duration: 9 Months Job Type: Contract Work Type: Remote Job Description: Responsibilities Manages and executes sales and cross functional meetings and events, including US Conventions Partner with stakeholders on sales and cross functional event planning (national meeting, mid-year meeting, launches, region meetings, executive summits, major US oncology conventions, etc.) to ensure business needs are met Manage agency partners to include logistics agencies, audio-visual and production company partners Lead logistical pre-event planning, onsite execution, and post event wrap-up to include surveys, debriefs and budget reconciliation Lead venue sourcing process and site selection for assigned events based on stakeholder requirements; communicate with stakeholders and gain buy-in on recommendations Effectively negotiate contracts for hotels, venues, and vendors Plan, select and manage all food and beverage requirements for events (hotels, caterers, restaurants, off-site events, etc.). Develop and manage project timelines and action plans in collaboration with cross-functional partners and ensure all deadlines are me; interface with internal marketing, sales, cross-functional teams, and external vendors to schedule projects, keep projects on track and meet deadlines with successful outcomes Produce pre-event communications (including websites and onsite materials), and post-event analysis including event analytics, identify gaps and areas of opportunities, and drive recommendations for change to streamline and improve overall efficiencies Registration management (invite lists, attendee management, rooming lists, final confirmations, etc ) Budget responsibility includes creating accurate budgets, tracking costs, initiating purchase orders, invoice approval, tracking spend against budget, and accountability for accurate cross charge and accruals, as appropriate, final budget reconciliation Qualifications: Extensive understanding and application of event planning principles, concepts, practices and industry standards, preferably in the oncology/pharmaceutical industryStrong communication skills with an ability to influence objectives Strong logistics and orgaExecution and problem-solving skills under pressure is core to this roleAble to be successful working multiple assigned projects independently, as well as, within the context of a team Ability to establish effective working relationships with a diverse range of internal and external stakeholders Proficient in Microsoft Office suite; comfortable embracing new technologies and digital tools such as financial management, work order management, mobile app technologies and Cvent Minimum Experience: 6-10 years of related experience and a BS or BA degree in Event Management preferred Significant meeting management and convention planning experience required, preferably in the Oncology or Pharmaceutical industry Certified Meeting Professional (CMP), preferred Resourceful, self-starter Flexible in a fast-paced setting with competing and ever-changing tasks and calm under pressure Ability and flexibility to travel and perform weekend and evening work, as needed Tek Wissen Group is an equal opportunity/affirmative action Employer (m/f/d/v) supporting workforce diversity
